[AGA-mcm] AGA2K4 -- ins and outs and ups and downs



I've attached an MS Excel spreadsheet, which is based on
the Budget, Ivo's most recent info, plus some things that
I've done to it.

Folks, please comment on errors, which are probably mine,
advise on any "refinements".

Given the roomnights that have been reserved and the
Banquests sold, the matter of our guarantee of minimums
becomes moot. There's some savings there. There are also
higher expenses in some areas originally anticipated. 

The "Estimate" column is meant to show current best guess.
The "Actual" column shows costs actually incurred or revs
actually received -- it's too early for this to match very
closely with the Budget or the Estimate but where it has
values, it gives a current basis for the Estimate. The
Budget column is the original plan, i.e., the best guess
back when the hotel contract was signed. 

Despite the help from Rick, Ivo, Erik and Phil, I'm sure
I'm still missing some updated info and the Estimate can be
revised further so please comment.

If anyone knows of any potential reimbursements to AKA2K4
workers for expenses that have not been submitted yet, it
would be good to get them submitted or at least an estimate
of the amounts. 

The categories are the same as the in the Budget (i.e., the
original plan) but I have added a couple to more discreetly
delineate certain items that I thought would be helpful
down the road -- e.g., Tshirts, which I assume will sell
for a bit less than the on-line price. I have put in costs
related to Lucas and I have pushed up the auction sales
$1,000 to refect the Lucas wares going into the auction.
Since we won't be raffling the Amano tank, which was
planned as a 2nd raffle, I've cut the average raffle
revenue per person in half in the Estimate. Otoh, there are
more attendees than originally planned and that slightly
offsets the reduce raffle revenue per person.

Still some time to get the $59 registration rate -- it must increase as of 
October 28th to $79.

Still some time left to get the 65% discount hotel rate.
