I like "Mini-convention" with or without the hyphen. It
lowers expectations while still conveying the notion that
people are getting together.

But we could have something totally new: not a seminar, not
a club meeting, not a convention, but a Plant-o-rama ---
wait, the scouts have that one.  How about Plant Festivus--
we can get an aluminum pole and each attendee takes a turn
saying what for about the negative posts during the last
year --- hmmmm, copyright issues there.

Or how about this, at the agency where I work, all meetings
of the Board of Commissioners must be in public. So when
they wanted to have quieter seesions, they had "Gatherings
of the Commissioners before the meeting". So how about "A
Gathering of the Membership" -- sounds almost religious,
eh?
