Hi, thanks for writing and for your interest. I have some info below you should find helpful. First, a couple of points. Consider whether 2006 or 2007 is better for your club in terms of timing. The date of the convention is not fixed to any particular month or date but a draft proposal should be submitted about a year in advance of the convention. You have done shows before, so you know that what seems like a lot of time at the start, can often seem like too little later ;-) Also you might want to contact Jonathon Dooley <mrjonathandooley@aol.com>. He is from Indiana and has been considering putting together an AGA convention, although we haven't heard anything from him in months. You don't have to do this, but sometimes there is synergy is folks collaborate. For info, I have tons of stuff, the key piece being the Requirements and Guidelines doc. So I suggest you download these items: The AGA's Requirements & Guidelines for submitting a proposal to host an AGA convention. It can be very useful to help with planning. This document brings together experience from the AGA, CACA, AGA, NEC, and others, representing several decades of experience hosting successful conventions: http://home.comcast.net/~shieber4/Doc_dock/AGA_Convention_Host_Proposal_Requirements_and_Guidelines_ver_4b.doc Some basic info on the last two AGA conventions: http://home.comcast.net/~shieber4/Doc_dock/Summary_data_re_AGA2K3--_AGA2K4.xls A complicated spreadsheet used to compare the finanicals for various scenarios for the 2004 convention. I don't expect this to be easily traced or everyone to try to make one of these. I offer it only because it gives an overview of the the diff factors: http://home.comcast.net/~shieber4/Doc_dock/SH_Modified_budget_AGA2K4_ver5c_-_Marriot.xls GWAPA hosted the last convention and here, as a sample, is GWAPA's proposal for 2004: http://home.comcast.net/~shieber4/Doc_dock/GWAPA_Proposal_rough_draft2.doc And also, here are the AGA Board comments on the Draft 2 proposal: http://home.comcast.net/~shieber4/Doc_dock/Board_comments_on_Draft_proposal2.doc That should get you started. Don't let the bulk of the material scare you off -- I like to err onthe side of too much rather than too little info. regards, sh, AGA Treasurer --- Bill Flowers <billflower@gmail.com> wrote: > Dear Scott, > > My name is Bill Flowers and I am with the Circle City > Aquarium Club > located in Indianapolis, Ind.
