I was going to forward this to the board too.

I am holding off on dropping a large bomb on Charlene until AFTER Darelene 
finishes with the interviews; however, I am worried that I may need to 
drop a small bomb on her lest she's already contacting other people for 
next year's convention.

Charlene was sick with a sore throat that week so we actually finally met
the 4th. I shared my first draft with her today and intend to make
corrections ASAP to then ask Val if she wishes to contribute to the
document. I just sent her an email with a heads up for this request.  I
don't wish to get stuck in the middle of things but did not think it was my
responsibility to tell Charlene she was not expected to be convention chair
again.  I thought David Lass committed to that task.  Believe me, I've
alluded to her in a more positive light that the board wanted to 'lift that
burden' from her but it's obvious she is compelled to feel responsible for
continuity in the planning process.  With this outline exercise I believe
she's getting closer to 'letting go'.  I have only been involved in
volunteering during the conference and the auction and essentially none of
the planning, but this review is surely bringing to light the process for
me.  I'm not privy to the issues of communication that have been problematic
thusfar but got an inkling they exist.  Despite any hindrances, I have
learned to work with and for Charlene on this and many other projects.  We
share a friendship beyond this wonderful AGA group and I can understand and
respect others if they don't want to work with Charlene.  I consider it a
challenge worth accepting. (;-)

If you agree, I would like to contact David Lass to 'iron out' any problems
to the process of reporting results from the auction. I turned bid sheets,
check out sheets, and donor sheets to Charlene but would like to know
exactly what he needs/expects for records in order to write it up in the
outline of responsibilities for the auction chairperson.  Since she was sick
or out of town it didn't get addressed as soon as I had assumed.

I don't know if you're asking me to be involved directly with the bidding
process for next year.  Frankly, I would be more than happy to commit again
to events during the conference like the silent auction as its
coordinator/chair, help with the registration table as well as other on the
spot volunteer needs, but believe being involved in the actual bidding/
planning process beyond this outline exercise is best done by someone else.
At this time I will not assume that I am expected to be auction chair and
will gladly accept if asked.

Thanks for the deadline...I was wondering.  I'll do my best to have this all
wrapped up by Xmas....

I was wondering how your meeting with Charlene went last week.  We got
mail from Charlene earlier this week that seemed to indicate she still
thinks she is convention chair, and I am trying to ascertain what's going
on.  The board was supposed to have been very clear that Charlene is NO
LONGER convention chair, and she is NOT to run another AGA convention.

Just so I clear with YOU, what I think you are doing is gathering
information from Charlene and possibly Val on how they ran the convention,
and putting this information on paper (or e-mail) in the form of a "how
the convention was run this year" document.  The board will take this
document, and all the other information we've obtained from other clubs,
and assign someone (perhaps you, if you are still interested at that
point) to write up a BID INFORMATION sheet (such as the ones we've gotten
from other clubs).  We will then send this bid sheet to the interested
clubs, and they will work with someone from the AGA Management (possibly
you again) to set up next year's convention.  Ultimately, the key here is
regular scheduled communication and feedback to insure that nothing gets
out of control the way it did this year.

I would like to have a schedule whereby all the information is obtained
from Charlene and these other sources before the end of December.  Does
this sound feasible to you?
