Re: AGA2K3 $ Info

Kind words. Thanks.

Not everything that could have been better is reflected in
the Treasurer's Report, which economically sticks matters
economic.

[Segue] As for structural or organizational matters,
attached for consideration is a revised Bid Doc, as we have
come to be call it. the revisons reflect the collection of
comments I acquired, under both friendly (and less friendly
;-) ) fire. The changes are reflected in this "mark-up"
version. Some of them are rough draft (rough as virgin
cork bark in summer) and some maybe should be removed. I
put them all in for consideration. Others should probably
be added -- speak up.

Fyi, I forwarded to Ghazanfar the report and the revised
Bid Doc, noting that the revisions had not been passed by
the Board but, in the interest of time, I was sending them
in case any of them proved useful.

I want to note that Cheryl and Tim Cincotta had the most
thoughtful comments. Most folks only took time to write a
line or two.

I think everyone that was there knows that the Silent
Auction was the biggest screw-up -- all due, I am
convinced, to a number of small errors and minor
misunderstandings that added up to "What? There's no
process for the Silent Auction? No cashier?" It ran
through a crack in the floorboards like milk. And still,
the Silent was pulled off rather well -- showing how
important it is to have a depth of human resources -- lot
of reliable people willing to jump into the hole wherever
one opens up, even if they just finished filling up one
after another.

Note spelled out in the Report or the Bid Doc revisions is
something that I think was of particular importance.
Namely, how well, over the six or seven months, Larry kept
the volunteers on-board, active, and determined to make
things work, even as the workloads increased towards the
last 14 days or so. A couple of horses went lame early
(and one or two jumped the fence and still wander the open
range). But shooting the lame horses would have been bad
for morale. Along those lines, Larry mad some tough calls,
and made them very wisely.

Final checks to AGA and DFWAPC won't be cut probably for
several more weeks. There are a lot of checks from the
account outstanding and a couple of receivables haven't
turned up yet -- reminders go out Saturday. I'm happy that
after six months and 20 grand, the AGA2K3 records and the
bank's books agree -- and I didn't have to do a Newhart to
make that happen ;-). If you're not up on your Bob Newhart
trivia, when he was an accountant, when the books didn't
balance, he just moved the discrepancy into or out of his
pocket.
