I'm looking for concept approval now. After that I will negotiate the bus contract and know what all the extras add up to. I assume that we might tip the driver, we might have to pay for a day that is longer than 10 hrs and there might be a gas price surcharge. The drive is less than 2 hours and I included time to load and unload wil the usual waiting for straglers. My proposal is a max of 50 people to make the complete field trip. Even with 50 people on the bus there will be room for Scot to streach out in the back of the bus. The proposal is to price it to ensure ALL expenses are able to
be paid from the field trip collections. The bus, the snacks (if you want them), EVERYTHING.
OK the concept; and then I will get the exact costs for approval.

58 pax on a bus. You might want to look at a bus that allows more leg room for the 2-hour-plus ride each way.
No admission charge is good news, there will be hire demand at the much lower cost.

Here is the outline for a field trip to the Monterey Bay Aquarium I have been working on:
Friday, 10 Nov 2006
730 depart hotel by charter bus
930 arrive MBA; donuts, coffee, juice in the conference room. 20 min presentation about MBA, 20 min presentation on R&D for new Asian and African freshwater river otter exhibits.
1030 break into groups of 10 for guided tour (behind and in front of scenes).
1130 on your own to tour aquarium, eat lunch or roam Cannery Row
230 board bus for return to
hotel
430 arrive back at hotel
The 58 pax bus will be about $700, the admission to the aquarium will be free for 60 people and snacks in the conference room might be $200 or so. The field trip transportation should be limited to 50 people (to preclude overcrowding on the bus). For a few folks who might want to spend a couple of days independently in Carmel/Monterey before the convention they could meet us at the MBA at! 930 to join up. The price to reserve the field trip could be $27 (or $30?) per person to cover us even if we only get 30 people interested in the trip.
I will need a firm comitment and direction to proceed with the contract for the bus and for the arrangements with the aquarium if this proposal is acceptable.
