[AGA-sc] Convention absence



My friends,

 

With regret I must tell you that I cannot attend the convention this year.

 

My absence will have a few implications re some of my Treasurer responsibilities at the convention, which someone else will have to bear. I apologize for the inconveniences my absence may cause. Otoh, if DG is there, he may live to sell another day. ;-)

 

 

 

CASH: I should send a check for a couple hundred to one of the Board member attendees so that there will be start-up cash for the DVD table. Who?

 

Hotel bill: Someone will need to pay the hotel bill. We should know the approximate amount of the hotel bill before it is presented late Sunday afternoon. If it would be helpful, I should be able to have sufficient info to estimate the bill on Saturday or Sunday provided I know the actual number of roomnights credited to AGA and the number of roomnights actually bought by AGA (the comps) and the final number of Banqs -- there is always the possibility of some last minute changes to these items but this info could be exchanged with a few text messages, emails or phone calls. The main thing to look for on the hotel bill is add-ons that the hotel might stick on the bill "as a matter of habit."

 

Reg list: Cheryl probably, as usual, has a registration list as good as or better than mine, so my list is probably irreverent during the convention.

 

 

Handling revenue after the convention: It's a good idea to pay the hotel bill with cash gathered during the convention -- this substantially lessens the amount that must be transported in pocket. I wouldn't put any sizeable amount of cash in checked luggage; the risks of loss or theft are many times greater for items in checked luggage. The cash remainder after the hotel bill is paid can be deposited into a suitable personal bank account and converted to check and sent to me. In the unlikely event that the convention cash is insufficient to cover the bill, then I can wire money to the hotel's bank account provided I get the Swift number, account number, etc, -- this would probably best be handled in a phone call between the hotel and me. Or someone could cover the insufficiency with a personal credit card and I would reimburse with an AGA check.

 

Records: I'd appreciate getting a DVD table tally, copy of the hotel bill, and, of course, the auction data that Erik's system so handily creates.

 

  

Everyone, keep your receipts. If there is loud music in the next room, don't let Larry beat up the concierge. ;-)
