February 2003 GSAS Board Meeting Minutes - Preliminary Publication for Review

Per GSAS Board policy, Paul Carey has resigned his position as Board Member, having not attended three consecutive, regularly scheduled board meetings.  [I will note that this policy is currently under review by the Board.  However, it was voted into place by a majority of the board members present at the August 27th, 2002 board meeting, and until such time as it is revised or rescinded by the Board, it is only fair that it be consistently and objectively applied.]

 The March General Meeting will be a Live Food Workshop - Dave and *Bob. 
 
*Bob will be out of town and will give his cultures, etc. to Steev before leaving.

o Rick will purchase 2 oz. of Live Adult Brine Shrimp for the meeting.
 
 o Rick will order ~ 30 copies of ?Food Cultures for Dummies?
 
Actually, when I called Jim & Sarah Atchison of ?The Bug Farm?, they offered to donate their ?standard? Auction Kit in addition to the 30 copies of ?Food Cultures for Dummies? that we had originally planned to purchase.  In all, they are donating?

Kevin Foxen has volunteered to host Rusty, Ad, and/or Paul (Loiselle) as needed ? including airport pickup/drop-off, staying in his home, shuttling around to Seattle attractions, coordinating meals, etc.  These are functions that Kathy (and Erik)  has typically done in the past. 
 
To assist Kevin and whomever else may be called upon in the future to host an out-of-town speaker, we need to document the responsibilities (Job Description) of the Speaker Wrangler.  Kathy has already volunteered to write this up (see ?Low-Priority and On-Going Issues? below).  Clay will email Kathy to ask for her assistance and advice in building a group of people within the club in which we could attain a high ?comfort level? that they understand what is involved and would positively represent GSAS.  The goal being to maintain the excellent reputation that Kathy (and Erik) has developed for GSAS in the past.

3) Don Bertalotti ? re-run ad with number corrected.  I need somebody?s help with this one.  I wrote it down at the meeting, but I don?t have a clue what it was about.
 
4)  Spring Article Contest (needs to be promoted in the next newsletter)

 Recap of February General Membership Meeting
 
 We had a total of 41 in attendance (including members and guests)
 
 Statistics from Erik
 
We're about the same as last year for actual income from the event, maybe
a little more after Sandu's check comes in. :)  We also auctioned faster
than we've ever done before, between 7:40 and 9:40 we sold 264 lots, which means that's one lot per 27 seconds!  In 2000 we did this, but it took us way past 10 PM.
 
Dave remarked that it was quite pleasant with Gilead as fourth auctioneer; more time to relax and bid on items.  In fact, the high bidder was Paul Winchester, at $105.
 
Some random stats to compare and mull over, and conclude that things are "just fine", even though our number of bidders is down:

 Thank-You Cards for Plant Auction Sponsors?
 
Rick showed samples of the new GSAS Thank You cards which are based on the 1st, 2nd, and 3rd-place winners in the December Kids? Coloring Contest.  The cards were well received by the Board.  Each contest winner will be sent one of his/her respective cards.  We discussed sending one to each sponsor of the Plant Auction.  Rick will get the information from Erik and send some ?finalized? cards to Bob for mailing.

? African Northwest was our purchaser. They didn't really "donate" anything, although they did give us some very good deals.  In the past I have thanked them on the website, and I still plan to do so.  We had a few members donate, but I didn't keep track.  I didn't know we were planning on doing this, sorry!

 It would have been good to have had a couple more helpers bagging the purchases at the end of the auction.  The members had to wait quite a while after paying for their items.  If the computer printed list had the same number of items as were piled on the chair, it went fairly quickly; but when there was a discrepancy, the items had to be inventoried against the list so that appropriate credit (or additional payment) could be taken care of.  This happened several times and slowed down the process considerably.
 
 In the future, we should attach the numbers to the backs of  the chairs using masking tape; otherwise, it doesn?t take long for the numbers to be covered up by the purchases.
 

 We are unsure if Erika has followed up with Aquatic Eco-Systems regarding their advertising inquiry.  Rick will email Erika to see what was done. - Outstanding
 

 Bob ? Status of cash box which will be permanently mounted into our cart that is kept at the Seattle Aquarium - Outstanding
 

 The Newsletter Editor Chair will be vacant as of June 30, 2003.  Clay will announce this opening at the next general meeting.
 

 Board Member Attendance Requirements.  Rick had previously requested that we promote an ?email forum/editorial? (for lack a better term) which would allow us to better express our thoughts on this slightly controversial subject.  Two other topics were proposed for this kind of discussion.  Rick will initiate the topics on the GSAS Board List ? Outstanding
 
1. Attendance (and other?) requirements for Board Members
2. How to improve participation from the general membership
3. Suggestions for holding general elections for board members
 
Discussion on this issue was postponed until next month.  The ?email forum? has not yet been initiated.  Rick will again attempt to get that going as soon as time permits.

 Based on a preliminary email discussion about purchasing Marine Conservation T-shirts, we were able to finalize an order as follows.  Bob will order 12 Sunrise Reef (4 M, 6 L, 4 XL) and 12 Rainbow Reef (4 M, 6 L, 4 XL).  We will have these available at the April General Auction for a minimum/starting bid of $5.00.  In addition, each person in attendance at the board meeting decided to buy one for themselves for us to wear at the auction.  Dave also ?ordered? one for Erik who was not able to attend.  We will each reimburse the club at cost.
 
Subsequent email from Bob:
 
The shirts have been ordered and will ship on Monday. I had to alter the order a little because Glenn was out of medium in the Rainbow Reef style. Instead of the 3 med. on our list, I ordered 1 additional in Large (that's all he had) and 2 additional XL. So, same total in Rainbow Reef, just different sizes. For the Sunrise Reef shirts I ordered 5 medium instead of 4 and decreased the number of Large by 1 ,so it's 5M, 5L and 3 XL on those.
 
So here's what's been ordered:

                                 Sunrise Reef---5M, 6L, 3XL
                                 Kelp Forest----- 1 XL
 
                          Total  30 shirts @  $4 each = $120 plus shipping.

? at any rate, it's all being scanned in, and I will add this to the material I prepared back in September & burn some new DVD-ROMs for all who are interested in being keepers of the flame. - Outstanding

I showed up at the last meeting with one of my Corgis and was refused admission to the building.  Maybe a blurb that our canines are no longer welcome.  Know it has been a while since I brought one, but several people were as surprised as I was.

? Also, I talked to Kelly at the aquarium about the dog rules. The official position of the aquarium is "No dogs allowed" (probably with the exception of seeing-eye dogs and such).

 Discussion on a future Philanthropy Project was postponed until our next meeting. Clay will be putting together a written Philanthropy Proposal form which he, then, will use to present his idea for our next project.  At a future general meeting, Clay will also promote the idea of doing a new philanthropy project and invite other members of the club to submit their suggestions using the new form.  The Board would then review all project submissions and select one.

 Kathy will provide a Task List (Job Description) based on her experience as Speaker Wrangler.  This list will be of immediate help to Paul (as the new Program Coordinator which entails the responsibilities of Speaker Wrangler when there is not another person separately fulfilling that role), Clay (as President), and Rick (as part of the project to document the responsibilities  of all Committee Chairs.)
