Well, of course we would want to use it for our newsletter and anything else we need copied. The guy agreed to give it to GSAS, not the ham radio club. We should both be able to share it! You are president of GSAS, so if you want something in writing, then by all means go ahead and draft it up for the other club.

I called Dave and had a good conversation with him.  I will be giving him a call tomorrow to arrange pickup (assuming all goes well with the board meeting tonight, but who could refuse such a great offer?)

 

The questions (in my previous email) however are for the GSAS Board.  I guess it all boils down to the question of… Are we (GSAS) simply happy that there’s some place to put this copier and we’ll just be happy with any amount of printing that comes out of the deal?  Or, does the GSAS board want promises of future use laid out and in writing?  What are the board members’ feelings about this?

Well, as I mentioned at the GSAS board meeting, the Radio Club board meeting is tonight (Wednesday.)

 

I know of some questions that are going to be asked, if you want to get a head-start on the process. 

 

Beyond being very excited and very grateful for the copier, both clubs will want to cover any issues that may arise so to avoid any misunderstandings in the future.  Questions such as…

 

1)       Who buys the paper? – presumably each club can maintain their own supply of paper.

2)       Who pays for the toner?

3)       Who pays for routine maintenance?  (I saw that you said there is some company that will do it for free since we are “both” non-profit organizations.  Who is that and are they available in the Tacoma area?)

4)       Are repairs covered under routine maintenance; and, if not, who pays for repairs?

5)       Access to the copier would have to be arranged well in advance and at the convenience of certain radio club members who have a key to the clubhouse.  Would that be a problem?

6)       How long would this arrangement be expected?  - The life of this particular copy machine? Or what?

 

I’ll let you know tomorrow what the outcome of tonight’s board meeting is.
