Re: [AGA SC] 2003 financials -- 2004 budget



AGA net proceeds from the AGA2K3 were $5,121.64. There was
some or all of a paypal transfer that comprised funds that
should have been transferred to AGA2K3 but were not, and so
ended up going directly to AGA. Rather than transfer funds
back from AGA to AGA2K3 only to be paid back to AGA in the
final payout of AGA2K3, we left the money with AGA and
counted it as part of the AGA proceeds from the AGA net
results (see, e.g., AGA2K3 Treasurer's Report -- Attachment
1)

Total disbursements of the Net proceeds from AGA2K3 were:

The checks forwarded to AGA referenced in the first item
above were:
$232 (payment from Keller Farms), $74, $74, $24, $61
(auction or reg payments from various payers). I did not
store the names of the payers for these last four checks.
I'd have to review images of cancelled checks in the AGA
account to identify the payers.

The checks to Erik you refer to were presumably related to
recording the convention for the AGA archives and
bookstore? This was not an AGA2K3 activity -- e.g., no
sales count towards AGA2K3 revs. If so, maybe should be
identified as a separate item or with another activity
other than AGA2K3 the same as contest costs are separate
from the convention -- at least through AG2K3 -- AGA2K4
might be handled diff. If anyone ever looks back at the
numbers, there won't be wany way to consider the net
results of the bookstore sales vs the Convention net
results, not to mention that the AGA2K3 books won't balance
with the AGA records. Also, it will appear that DFWAPC was
overpaid because these costs were not included in the net
results for AGA2K3

Until receiving the message below, I have been unaware of
any credit card payment received by AGA that constituted a
payment towards AGA2K3. I thought that we were not
accepting any credit card payments for AGA2K3. If there was
such a payment, it increases the total net results of
AGA2K3 by $91 and half of that amount should be paid to
DFWAPC under our agreement with them.
