Further discussion with Marriot has resulted in some clarification and verbal agreement to change in language. The "Estimated cost" language will specify that if we get less than the 120 Banquets then we must pay 40% of the diff between the actual Banquets and 120. If the notice is less than 72 hours then it's 100% instead of 40%. At 40% that comes to $2200 if we sell *no* Banquets at all. This seems to mean there is additional liablility above the $10,000 liquidated damages for cancelling all the roomnights, so total liability for cancelling (assuming it's before the last 72 hours) is $12,200 (i.e., $10,000 plus $2,200). But cancellation notwithstanding, the clarification in language makes a big diff. See revised attached summary -- breakeven is about 110 paid registrants. Also, Marriot agreed to 14 or so vendor tables. Would like to have the the total liability for cancellation held at $10,000 -- i.e., someting like "costs to the AGA under the FOOD AND BEVERAGE ATTRITION/CANCELLATION clause shall not be papid in addition the payment of $10,000 under the CANCELLATION clause. I don't know if we can get that much more from Marriot. ===== S.
