[AGA-sc] Post-convention notes



I've enclosed my notes as a word doc, but here they are pasted in. These are just notes so far, mostly on how we can improve things next time around and stuff I gotta take care of. Please add any observations so I can add to the document. I especially need any other volunteers I forgot.

Post-convention notes

Send e-mail survey link incl link to Dr. Georgeâs ppt slide on deficiencies Refund Rich Greenâs money â we never used it, and we didnât acknowledge him, or get rare crypts to send his way.

Talks:
Send slide of deficiencies /ppt to convention attendees in e-mail.

HOSPITALITY
Worked out great as a base to meet folks and get work done!
Good area to store things as well.
Didnât use all the beer & soft drinks â left with Jim for SFBAAPS.

SHIRTS
Very popular â completely sold out/given away! Ran into the guys at Aqua Forest & Troels and Ole all wearing theirs on Monday! Numbers of sales?

SPEAKERS
+ Different people introducing each speaker. Some intros were downright excellent. - Need more âcareâ of each speaker. We knew this beforehand, but didnât have the people.

FIELD TRIP
Excellent â no hitches I know of during event!
Maybe could have used âalternates listâ to deal with last-minute cancellations, or had explicit policy of no refund unless we fill the spot.

IA
SFBAAPS team worked very well on this! As itâs a first time event, there are lots of ways to make it better:

Black cloth
Lights above the tanks
Work from behind the table rather than in front?
Tanks on carts so they could be moved afterwards
Rope off folks from front
Video link on screen like Dorothyâs talk
Amateur teams next time?

Color commentary with handheld mic, going around interviewing judges, audience, competitors, etc.

Kathy sez âeveryone wants to have another IA next yearâ. Get in touch with Jeff and ask him to chair it, what things he thinks we should have, etc

More foreground materials, less species, more of each. Keep the sides separate so they canât steal each otherâs stuff.

VENDOR ROOM

Should have it later Saturday night or early Sundayâ 5 PM takedown was difficult
Need to communicate times with vendors

AUCTION

645 items, 368 donations, 277 sold
73 bidders
$985 from Kingfish stuff
$6075 Gross + $50 cash
$1652 splits (-$95 that doesnât get paid to âtropicaâ)

Three laptops are perfect.
Need to record all personal donors when they come in
Virtual cash bidder # (took in about $50 cash and carry)
Print labels with bidder / price in same order


RAY

Financially kinda a wash. $685 from auction + $300 bowfront = $985. Presence in vendor room a big plus. Presence at auctionânot so sure.
