Thanks for the insight Karen, that's exactly what I was wanting to know. I know I've still got a lot to learn about the logistics and typical practices between organizations at this level. Any experience shared is valued. For what it's worth, this is the first conference this group's held. It seems like a neat opportunity for us to get in on the ground floor so to speak. More and more discus keepers are starting to accept that aquatic plants and their prized dinner plate fish can thrive together. As far as donations, I agree, let's keep things status quo. If anything, I'd rather tip the scales in favor of groups such as NEC who've been so good to us in the past. This brings up a thought...have y'all talked about building some sort of regular reciprocal speaker arrangement with other clubs like ACA and AKA? I have no idea of the big fish groups have focus groups like we did in Dallas. Having specialists come in and give presentations focusing on specific types of fish might enhance our conferences and it would give us a good opportunity to get one of our speakers into a "fish show" on a regular basis. If it costs us money to set up a table, how much would y'all be willing to spend for it? Do we normally do something for ACA's that have an AGA presence?
I didn’t realize that you meant pay for table space. I have NEVER been to a hobby convention where complimentary space hasn’t been made available to other hobby organizations. I wouldn’t mind making a (small) donation of some kind toward their event, but I am VERY reluctant to start a precedent of one hobby organization “buying” space from another. We are not a vendor in the sense of any commercial endeavor. This has ALWAYS been a courtesy that hobby groups have extended to each other. I would much rather encourage them to participate in our vendor room gratis than to pay them.
If the table space is available, it shouldn’t cost more than some Staples supplies to set up an attractive display. I’ve attached a couple of photos of our table at NEC… I think there are better ones around; especially of the different tanks we’ve had there. But I couldn’t find them quickly.
Cheryl's foresight has provided me with a plethora of back issues to use. A gift certificate or two would be nice, as would a set of convention DVDs is that's ok.
I don’t have a problem with this, I guess, but if we are going to start giving out big ticket items like that, I think we need to have a consistent policy… I think of all the YEARS that NEC has hosted us, giving us free meeting space, 2 hours in the convention schedule for our meeting, prominent billing in their convention booklet, free table space in the vendor room, and brought in whatever plant – related speaker I’ve asked them to (including foreign speakers) each year, and I feel a little funny giving such big stuff to an organization that has just, finally, decided to ask an AGA member to speak.
I think it’s a great opportunity to build good will, but OTOH, news travels, and I don’t want NEC suddenly to be wondering why we haven’t done the same for them. If we’re going to do this for the Discus organization, we need to do it for ANY convention that offers us a presence at their convention.
