RE: Board email list



I've delayed writing any kind of further response because I just
couldn't bring anything to mind that I was willing to say out loud or
put in an email.  When I'm finished writing this one; it may or may not
actually be sent.

You may remember that we had discussion last fall (sparked by Erika's
masthead questions) about which committee chairs should, of necessity
imply a board position.  At that time, as now, I felt AS YOU DO that the
newsletter editor position required close communication with the board
and SHOULD be a board position.  It was my desire to document each chair
position and whether or not each should be a board position as well, but
that effort was shot down.  That's okay; I can live with being voted
down.

As for June; I am thrilled that she is getting more involved!  She's a
great asset to GSAS and has proven that she is responsible and reliable.
I've always been in her corner and if she is interested and willing to
fill a board member position, then I'll be her campaign manager!

Now that it should be clear where I stand on those two key issues,
here's the "rub".  At the August meeting, the board discussed at length,
the question of who can/should be on the Board Email list.  The decision
was... current  members, of course, and that past board members who were
still interested in providing insight were welcome to remain on the
list.  It was agreed (I thought), documented in the minutes, and those
minutes ultimately approved by the Board.  I was sitting at my computer
when Erik's email came through suggesting that if June would send a
"subscribe" email, he would process it and she would be added to the
Board list.  Within minutes I sent Erik an OFF-LIST email pointing out
that the board had addressed the subject and that what he was suggesting
went against what the board had agreed upon.  Needless to say, I had a
reason for sending my email off-list or I wouldn't have done it.  Not
wanting June to be put in an uncomfortable position, and on the off
chance that she might already have been added to the board list before
my "point-of-order" email was sent out, I sent it privately.  It would
have been a simple matter to have delayed her subscription until the
Board could have addressed the idea of making an exception to allow the
editor on the list OR of making the editor an automatic board position.
Instead, my email was intentionally re-broadcast to the board list (a
slap in the face) and the "decision" was made.  

I have to wonder why we meet as a group to have these discussions and
why I spend so much time documenting the outcome of those discussions if
they're going to be ignored/over-ruled anyway.  

On a different matter, this same email (below) contained the second,
not-so-subtle insinuation that the way that I, as the Board Secretary,
communicated with Erika is the reason that she stopped publishing
newsletters and communicating with the Board - the first was at the
January board meeting we had at Clay's house.  It hurt then, and it
hurts now.  It was a very unkind thing to say.  If Erika had any problem
with the way I communicated the board information with her, she never
let on to me.

I don't usually write emails like this.  It was very difficult and
leaves a bad taste in my mouth.  Clay, you asked to hear all sides, so
here is mine.

Good Evening,

I tend to agree that the Newsletter Editor really needs to be on the
Board Mailing List.  I find it difficult enough to try and communicate
information to the club.  If I had my way there would be only one
mailing list.....but, I understand the need for two separate ones when
things get out of hand.  With this said, my vote is to put the
Newsletter Editor on the Board list and, again, consider this person
part of the Board.  I am happy to hear reasons this should not be so,
however......as noted in some of my prior emails, I am hoping to hear
all sides of this and have the Board help make a decision which way to
jump.

Hi... Based on my experience, f June is going to do the newsletter, she

list, but I do believe that the newsletter editor needs to be on the
list.  
Hey, Erika was never on the board (though you guys insisted she was
month
after month), but she was on the list.  Why?  Because she needed to know
what's coming up, what the decisions are, and in general be exposed to
information directly, rather than being e-mailed some kind of edict, a
la
"The BOARD has decided such and such..."  Hmm, now that I think of it,
that may have been how that particular relationship was conducted, and 
that may have partly contributed to its current state.

Now, I don't think that many of the committee chairs need be on the
list.  
Hospitality, for instance. But newsletter editor is very different.  But
if a certain not-so-friendly member had been newsletter editor, said
person would have needed to be on this list, no matter how much any of
us
despised the concept.

Anyway, think about it.
