Good Morning everyone.
Erik, thanks for the wake up call. We do need to start
planning right away.
As far as an organizer goes,
I think I can speak for the entire board when I say that we were, and still
are, hoping that you would be able to do this - especially the technical end of
it, as this has worked out so well in the past. I think we do need to have a
"Plan B" in place though, just in case.
I see such a plan as being
low-tech, the way it was done before the current computer-based system was
developed. Those auctions were held back before I joined, so I have no
experience with them. I have been reading through an email you put out
two years ago titled "PLANT AUCTION JOB DESCRIPTION" which outlines
in detail everything that has to happen for a successful auction. In it you
mention a "split form" . We might be wise to have a stack of those on
hand along with anything else we would need to run a computerless auction.
I will have copies of this outline for board members
at the meeting Tuesday. If anyone else wants one, let me know.
Plants: Last year I think we spent around $350 at ANW
for plants, and I think that included a big box of bogwood. (Susan, could you
verify the amount please? Thanks). Maybe this year we should go with a smaller
quantity of plants and skip the bogwood since we did it last year. As Clay
pointed out, attendance may be lower this year.
Sam, thanks for offering to
work with ANW again this year.Yes, we'd like to try it again with them this
year so please contact them. Guess we'll have to get back to you on the amount
we wish to spend. (I'll throw a figure of $250 out now. Comments?) And we can
definitely use your help at the auction! Non-plant items? books,
substrate, fertilizer, CO2?
Computers: A request for
members to volunteer their laptops (Paul will provide two,) put out on GSAS
member and GSAS announce might be in order here. Technical details of what
equipment, cables etc. is needed would need to be included. Might be a good
time to ask for human volunteers also - auctioneers, baggers, runners, data
input etc.
Seating: If necessary we
could drag some of the seats out of the classroom. I can also ask Judy about
the availability of extra folding chairs.We'll have both the common area and
the classroom for our use so there should be plenty of room. Bob will reserve the commons area and
request additional folding chairs.
Publicity: Seems to me that
most of the people who attend are members of GSAS or other clubs. A nice big
announcement on the website, making special note of our new location, would
probably work well. Bob will
notify Portland and Vancouver. Ads in newspapers have flopped in the past. Bob will post an ad on Craig’s List
and on the AGA website. Susan
will visit pet stores and post ads where appropriate. Paul will post ads in news groups and in
Microsoft’s Micro-News.
Susan
will withdraw and bring $125 in small bills to make change. She will also
make some signs that say “Check-In,” “Check-Out,” and
“Keep-Out!”
Rick
will bring copies of the “Auction Handout.”
Bob
will contact Sam about using his scale to weigh the bogwood. We will pick
out five of the “best pieces” to auction off, using the
price-per-pound as the starting price in the auction.

Here is the "old system":
Auctioneers, same as now.
Recorders: one person has a
notebook with odd-numbered bidders, one per page, another even-numbered
bidders. They record the bid on the appropriate page, and hope that
statistically the big bidders aren't all even-numbered.
The third recorder is basically
the same as our "paper trail" person with the computer. Their
job is to just record each bid as it comes in, and is a backup for the other
two to check.
Now the bitch of this is that
we didn't do very well on splits before the computer setup, because it was not
well-defined into the "system". In fact, handling splits was
one of the two reasons for going to computers (the other being the
run-on-the-checkout at the end... you should have seen it WITHOUT having the
totals automatically ready!) At one point I dealt with this by keeping all the
split forms on a clipboard and hurriedly trying to find each split as it was
called. The auctioneer had to remember to call out the item number (often
didn't happen). But the numbers of splits has grown significantly since
that time, so it will be
tricky.
Forms: Bidder cards, split
forms, blank stickers, three notebooks (instead of one), plus all the usual
stuff (sharpies, bags, etc).
I will do everything I
possibly can to be there. I have actually been testing all the computers
and scanners here, and will have everything in a box and ready to go.

The meeting went very well in my opinion. Tom's talk and video presentation was
extremely well done. Turnout was low, 17 I think, probably due to the usual
overhyped threat of snow. I have the sign-in sheet.
The dinner at Siam also went well. Tom raved about the phad thai later on.
Definitely a good place to eat! The doggie box of phad thai that I had for
lunch on Wednesday was as good as it was the night before.
On the way out to the hotel Tom commented several times on how much he enjoyed
meeting and talking to people in our club. He also mentioned that he knows
several people who do excellent talks on various aquarium - related subjects
and would be glad to assist us in lining them up for a GSAS visit.

front, in the pocket-area, we will have the logo along with the name of the
club, in the font Nadianne in the
four-line, gradually indented format that has become standard over the past
three years – as shown below.

attended, in the past, a few of our club meetings. He told me once that he is
thinking to start to digitally paint tropical fish. I can ask him for such a

legal information that I received from Rich Elliott a few days ago to the
current board members so that they can read it prior to the board meeting, and
also to Erik because there is one part of the letter, concerning disclaimers,

Rich's letter to be encouraging. It looks like we will be able to avoid having
to get a business licence and pay sales tax, and our insurance is in order.

This sounds
interesting. To consider sponsoring Thai I think the club should be
provided with a proposal from Thai on exactly what it is he is trying to
accomplish, the schedule of the project and the precise use of the money he is
planning on spending. He could present this to the Board I think, in 15
minutes or less. Just some of the things I feel are needed.

Hello, my name is
Thai from the Bellevue International high school. As a senior at the school, I
am required to do a senior project that requires me to explore and to go in
depth on an educational subject. Being a fish enthusiast, I have decided to
learn and explore more about ichthyology and fish keeping. I've chosen to write
an essay on matter of "how does society ensure the well being of aquatic
zones while at the same time ensuring the well being of the ornamental fish
collectors who depend on their jobs for a living." Therefore, I was
wondering if there were anyone who is experienced and has extensive
knowledge on the field, who I can possibly consult the subject with and someone
who I can possibly rely on as a mentor. Secondly, one of the other goals for my
project is to become involved with the community. I've chosen to teach an
elemenatary school class about the fundamental science and art behind fish
keeping. I wish to broaden their views about the aquatic world and show them
that there is a lot more to fish keeping than just having gold fishes in a
bowl. As a result, I plan on teaching an interactive learning class where
students learn how set up a fresh water community fish tank and how to maintain
and take care of it. To do so, I would have to raise enough money for the
proper equipment and material (about 200-250$). I was wondering if the Greater
Seattle Aquarium Society does any sponsoring and could possibly sponsor my

that we should pay for
only one night. That's all we've ever done in my
experience. I'm looking
for a "gut feeling" amongst past and present
board members as to how this
should be handled, if indeed it even comes up. Right
now I'm planning to
tell him that we have a one night only policy when I
talk to him this
evening. Please comment on this matter.

that our official policy will be to pay for one night unless it is to the
advantage of the club for the speaker to stay more than one night.

for an “Aquascaping Award Program.” Brief discussion
highlights from last month’s meeting are as follows: - Moved to
“Low Priority” items at Sandu’s
request. Sandu will prepare
a short “blurb” for the January Newsletter.
o Submissions/entries would be pictures
o Entrants should have the option of
being/providing their-own photographer or requesting that a “club
photographer” (one person, to be determined) take the pictures.
This would alleviate the potential problem of “blaming” a
non-winning entry on “which photographer was assigned to take their
picture.”
o The contest could accept entries during
the entire club-year, culminating in a slide presentation at the June meeting,
at which time the membership would judge the entries and vote for the
winner(s).
o Sandu will asked if there is enough interest
in this idea at the last general meeting.

The “show of
hands” of those interested in receiving an electronic version of the
newsletter was positive at the December 2003 meeting. June will continue
to investigate on a low priority basis.

Sandu
suggested the idea of establishing a “Sister Club” in some foreign
country. Bob is already in
contact with Daryl Hutchins from Brisbane Australia. An English-speaking
country would be much preferred. Bob
will email to exchange newsletters first; then, if that works, he will propose
the idea of a “Sister Club.” Rick will send copies of the pamphlets to Bob. – Done. Bob will continue correspondence re: “Sister
Club” specifically to establish some common activities and a video
exchange.

Sandu
shared an idea to raffle a significant item at one meeting per year – possibly
the Picnic, September meeting (to encourage attendance,) or at the December
Holiday Party.

Susan
proposed that we look into producing “Club Buttons” for events or
as a possible fund raiser. She brought an advertisement from a company called
“Badge-A-Minit.” Rick
will request their catalog. If we decide to pursue this idea, we might
save money by simply purchasing the supplies from this company and using the
machine that Rick’s church
already owns to produce our buttons. – (Still waiting on catalog delivery
– moved to low priority and ongoing issues at board direction)
