Vendor Contact for Contest (fwd)

Please read the note below.  James is having trouble connecting with 
Charlene.  As I had the same trouble last year, I sort of empathize with 
him at the moment.  

As he is asking "where does the board stand regarding the cooperation of 
these events?" I am forwarding this note to the board for input.

Erik,

I received a copy of the letter Charlene used last year for vendor contact
in today's mail. Attached to it was a short note:

"Feel free to update the info in this letter and use it to mail to prospects
if you wish..."

I don't know what Charlene's plans are for THIS year - as far as I know,
receipt and storage of materials will be handled by a chap in Houston
(Luis). I emailed him last Tuesday but haven't heard anything back from him.
Diana Lum apparently handled the actual vendor contact (using the letter
that Charlene sent me). No indication how many vendors have been contacted
so far this year to date.

Do you have any idea at what stage they are for THIS year right now? I know
that they have contacted a few companies, but have they contacted them all?

I do not feel comfortable dealing directly with either Diana or Luis any
further until I can get some kind of 2-way dialogue going with Charlene on
this. Is she interested in working together on this or is it every man
(woman) for himself???

Where does the BOD stand on the idea of cooperation between the two events
in this area?
