Re: [AGA-sc] Fw: Aquatic Gardener's Association meeting 2005

This may sound a little gruff, but I want to make sure we don't fall into a particular mode where anytime someone says "I think we might be interested in hosting", we just reply and say "here's the bid guidelines". This feels akin to replying to an interested advertiser with "here's our rate sheet". Yes it's TECHNICALLY a response, but not one I think we'd give if we actually want a relationship with that person. Yes there will be the trial by fire in the review of the bid, but I think we should be more encouraging to get them to submit a bid and do it right. So I think it would be good to talk to Tom and find out what his thoughts are in a little more detail on this. Does he want to chair it, or (as it appears) is he trying to help out & encourage SFAS, PVAS and/or SFBAAPS to take the ball.

Thanks,

  - Erik

Hmmm. I just got a call from Dave Gomberg. Guess he got wind that Tom was
going to make a bid for the AGA convention.<g>

He said he agrees with Tom that Monterey would be an idea area to hold the
convention, but he expressed some serious concerns that Tom would have the
organizational abilities to follow through with it. His biggest concern is
that Tom will assign jobs to specific people who have not committed in their
own minds, and in the process REALLY turn them off.

He suggested, and it sounded like a pretty good idea to me, that we actually
ask the organization submitting a bid to not only designate people to handle
specific jobs, but also ask for letters of intent from those folks. Things
can alway go wrong, causing people to have to back out, but at least we will
have their committment to the project up-front.

Dave said that he has had a fair amount of experience working hotel deals,
so he is very willing to work that part himself. He thinks, if there really
ARE enough people in the area to do the job, that it might be very possible
to get Tom to take over the field trip portion, and let less
organizationally-challenged people take the lead role of chairing the
convention.

He asked if we could send him a copy of the bid document too. I said we
were having a little formatting problem, but that as soon as that was
solved, I'd ask Scott to shoot him a copy too.

Really cool, Tom! Do you have the number of people out there to help you
get it accomplished?

Hi Karen and Eric,

I spoke to you at the last AGA meeting about hosting next year's event
in
the Bay area. I've found several places in Monterey near the Monterey Bay
Aquarium. We have looked at flights to Monterey vs SFO from a number of
places. Mark Faulkner may be able to arrange a behind the scenes tour at
MBA
and the location is a quait atmosphere, shops, food is top notch
(Dungeness
Crabs, wild Salmon etc). Kayaking in the kelp and other activities.

Rate seem to be about 80-90$ per night.
We are having an Aquatic weed confrence there in 3 weeks. I will be
there
for 3 days and will see about the cost for hosting. The state is paying
for
this and would be similar in numbers to the AGA event and time frame.

Field trips and trips to local folk's aquariums, nature weed infested
lakes, delta boat trip would be very cool(I can arrange that) as it has
about 10 species in epic proportions.

I will contact you folks later about the actual offers in Monterey. We
are
also looking at SF region but cost are high here. So that might take some
doing. Either way, both places have a great deal to offer outside aquatic
plant talks.
The Redwoods and water falls are not far(Down a piece on HWY 1).

I have included Mark here as well as Wilfred from SFAS, Dave from
SVAS, we have talked in SFBAAPS for sometime. There are several clubs that
overlap and many folks out here and the BAKA among others.

Regards,
Tom Barr
