[GSAS-board] response requested FW: ?s re room for GSAS




 respond to me soon if you have a strong opinion
and I will tally the votes and contact Ann
I'm leaning towards having the auction in 127
we could move out some of the chairs for better access and bring in a few tables for storage
 
think :
no stairs to haul stuff up/down
limitless bathroom options
easy car access
send the family down to the canal park
(nice walk with a stroller too)

I can put you in OMH 127 for March, May and June – you’re already in there for April 18. That room (127) is the largest room in OMH other than room 109 which is fixed seating and unavailable for April 18. I can reserve multiple rooms for you in OMH if you’d like or Weter Lounge, where you used to meet, is available.

the auction in February went very well
we had standing room only
the board has asked if we could switch our regular meeting room to Otto 127
the sound in that room worked better for us
 
also , I have to ask :is there any room in Miller that is larger, that we could rent on April 18th for our big saturday daytime auction?
as a group we really like Miller: more restrooms, accessible, easy to find, closer parking

I took a look at what is available on April 18 all day for your auction. I can put you in Otto Miller 127 (I’ve attached a picture). This room is larger than the 118 room you’ve been meeting in. 118 seats 50 and 127 seats 70. If you’d like to take a look at the room in February and let me know your decision that would be fine. If this room wont work for you we could move you back up to Weter Lounge where you’ve held your auctions in the past.

 

Once I have your decision about the April event I’ll put an addendum together for you to change your April meeting date and room and add the May 12 and June 9 dates to the contract.

sorry for the delay
I've been under the weather
I believe the regular single OHM room will be fine for the february auction
if we could have access to more tables and chairs that would be even better
due to illness the board has not had a chance to discuss the April Auction
I think we will need a room that is larger than either one of these OHM rooms
but I haven't had a chance to look at the alternatives
we will be down in Miller this tuesday and I'll peek into the other Miller room you suggested
otherwise the weter lounge might work
I'll talk to the other board members on Tuesday and send you a note later in the week

Meredith,

 

I’m sorry to hear that the room did not have proper ventilation. We were made aware (after your event) that there was some work being done on the air system. I apologize for this as we did not know about the issue until afterwards. Everything should be up and running now and you shouldn’t have any trouble in the future.

 

In regards to the building being locked early, I’ve checked with the security office and they have informed me that the building locks at 9:30.  Unfortunately the locking system is automated and in order to override it there is a bit of difficulty. Will it work for your group to have someone let you into the building if you have to leave after 9:30pm?

 

As far as checking into availability for your auction dates, can you give those to me again? We have two classrooms reserved for you on February 10 and April 11, are these the dates you’re referring to? Please let me know and I’ll be happy to check on a larger room for you.

I didn't actually go to the meeting but I did visit the room ahead of time
It turns out that some of our members are claustrophobic
( it wasn't a problem when I took algebra there, but ...)
there was also an issue with the air conditioning (not on)
and the front door ( locked early)
there was also a concern that the room would not be big enough for our auctions ( Feb and April:
adding the extra room wouldn't help unless we could combine them)

overall the building seems better for our group than Weter
since it is so easy to find and totally accessible

the extra restrooms were also noted as excellent
I assume the air-con and the door locks are easily dealt with

Is there a way we could move to the auditorium on the first floor or the lounge for the auctions
or are there other rooms we could consider?
